LimoCaptain is operated by LinkLumin. We provide professional limousine and ground transportation management software, mobile applications, and digital marketing services including web design, search engine optimization (SEO), Google Ads management, and social media management.

This Privacy Policy explains how we collect, use, disclose, and protect information when you:

  • Use the LimoCaptain Driver App (available on Google Play Store and Apple App Store)
  • Use the LimoCaptain booking and dispatch platform (web-based software)
  • Visit our website
  • Engage us for marketing, web design, SEO, Google Ads, or social media services

By using any of our products or services, you agree to the practices described in this policy.


2. Information We Collect

2.1 LimoCaptain Driver App

When you use the LimoCaptain Driver App, we collect:

Account & Profile Information

  • Name, email address, and phone number
  • Login credentials (stored encrypted)
  • Employer / transportation company workspace

Location Data — Including Background Location

The LimoCaptain Driver App collects your precise GPS location in the foreground and in the background while you are clocked in for a shift. This is a core feature of the platform required for real-time dispatch and fleet tracking. Location updates are sent to your employer’s LimoCaptain dispatch account and are visible to authorized dispatchers only.

You will be prompted to grant location permission during onboarding. You may revoke this permission at any time in your device settings; however, doing so will prevent core app functions such as clock-in and trip tracking from working.

Trip & Activity Data

  • Trip start/end times and locations
  • Trip status updates (en route, on location, passenger on board, completed)
  • Clock-in and clock-out times and shift history
  • Payment records associated with trips

Device & Technical Data

  • Device type, operating system version, and app version
  • Crash logs and diagnostic data

2.2 LimoCaptain Booking & Dispatch Platform

When transportation companies, dispatchers, administrators, and passengers use the LimoCaptain platform:

Business / Operator Data

  • Company name, domain, billing address, and contact details
  • Admin and employee names, email addresses, and roles
  • Subscription and billing information (processed by Stripe — we do not store raw card numbers)

Passenger / Customer Data

  • Name, email address, and phone number
  • Pickup and drop-off addresses
  • Payment details (tokenized via Stripe or Square — card numbers are never stored on our servers)
  • Booking history, ride preferences, feedback, and support ticket content

2.3 Marketing, Web Design, SEO & Social Media Services

When you engage us for marketing or agency services:

  • Business name, contact name, email, phone number, and billing address
  • Social media account access where shared for management purposes
  • Google Ads, Google Analytics, and Search Console account access
  • Campaign performance data including ad spend, clicks, conversions, keyword rankings, and analytics

2.4 Website Visitors

  • IP address, browser type, referring URL, and pages visited
  • Cookie and session identifiers
  • Form submission data (contact forms, demo requests)
  • Google Analytics data

3. How We Use Your Information

We use the information we collect to:

  • Authenticate users and manage accounts
  • Enable real-time trip dispatching and driver location tracking
  • Process bookings, payments, and invoices
  • Send booking confirmations, receipts, and notifications
  • Enable fleet management and payroll/time-history reporting
  • Manage and optimize your Google Ads, SEO, and social media campaigns
  • Generate campaign performance reports for clients
  • Debug technical issues and improve platform performance
  • Comply with applicable laws and regulations
  • Send transactional communications (booking confirmations, password resets, invoices)

4. Location Data — Detailed Disclosure

The LimoCaptain Driver App collects precise location data, including in the background, when a driver is clocked in. This is necessary to:

  • Display real-time driver positions on the dispatcher’s map
  • Automatically associate location with trip events
  • Calculate trip duration and time on site
  • Provide accurate ETAs to passengers

We do not sell location data to any third party. We do not use location data for advertising. Location data is only visible to the driver’s employer and authorized dispatchers within that company.

To control location permissions:

  • iOS: Settings → Privacy & Security → Location Services → LimoCaptain
  • Android: Settings → Apps → LimoCaptain → Permissions → Location

Disabling location permission will prevent clock-in and dispatch features from functioning.


5. Sharing Your Information

We do not sell your personal information. We share information only in these circumstances:

Within the Platform

Driver location, trip data, and clock-in history are shared with the transportation company that employs the driver. This sharing is a core function of the platform.

Service Providers

We use trusted third-party providers to operate our services:

  • Stripe — subscription billing and payment processing (stripe.com/privacy)
  • Square — alternative booking payment processing (squareup.com/us/en/legal/general/privacy)
  • Google Maps Platform — address geocoding and map display (policies.google.com/privacy)
  • Google Analytics & Google Ads — website analytics and advertising (policies.google.com/privacy)
  • SMTP2GO — transactional email delivery (smtp2go.com/privacy)
  • GoHighLevel — optional CRM integration per tenant (gohighlevel.com/privacy-policy)
  • Apple / Google — push notifications to driver and passenger devices
  • GNET — optional inter-company rideshare trip exchange

All service providers are contractually obligated to handle data securely and only for the purposes we specify.

Legal Requirements

We may disclose information if required by law, court order, or government authority.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you before your information becomes subject to a different privacy policy.


6. Cookies & Tracking Technologies

Our website and platform use:

  • Essential cookies: Session management, authentication, and user preferences
  • Analytics cookies: Google Analytics for traffic analysis (can be opted out via browser settings)
  • Advertising cookies: Google Ads conversion tracking and remarketing for our own marketing

7. Google Ads & Digital Marketing Services

When we manage Google Ads or social media advertising on your behalf as a client:

  • We access your accounts under your authorization only
  • Conversion and audience data remains within your accounts
  • We do not transfer your campaign data or your customers’ data to other clients
  • Remarketing audiences built from your website visitors are owned by you

8. Data Retention

  • Driver GPS location tracks: 12 months
  • Trip and booking records: 7 years (tax and audit compliance)
  • Payment transaction records: 7 years (financial record requirements)
  • Driver clock-in and payroll data: 7 years
  • Account credentials: Until account deletion plus 90 days
  • Marketing campaign performance data: Duration of service plus 2 years
  • Website analytics: 26 months
  • Support tickets: 3 years

You may request earlier deletion of your data subject to legal retention requirements (see Section 10).


9. Data Security

We implement industry-standard security measures including:

  • TLS/HTTPS encryption for all data in transit
  • Encrypted storage for sensitive credentials and API tokens
  • API token authentication with expiry enforcement
  • Multi-factor authentication (MFA) for platform administrators
  • Isolated per-tenant databases — one company’s data is never mixed with another’s
  • Role-based access control so users only see what their role permits
  • Regular automated backups

No method of storage or transmission is 100% secure. We are committed to protecting your information using commercially reasonable measures.


10. Your Privacy Rights

Depending on your location, you may have the following rights:

All Users

  • Access a copy of the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your data (subject to legal retention requirements)
  • Request your data in a portable, machine-readable format

Canadian Residents (PIPEDA)

Under Canada’s Personal Information Protection and Electronic Documents Act, you have the right to access and correct personal information we hold about you. Contact our Privacy Officer to exercise these rights.

European Economic Area & UK Residents (GDPR / UK GDPR)

You additionally have the right to object to processing, restrict processing, and lodge a complaint with your local supervisory authority.

California Residents (CCPA)

You have the right to know what personal information is collected, how it is used, and to opt out of the sale of personal information. We do not sell personal information.

11. Children’s Privacy

Our services are not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
